We are looking for an Executive Assistant to the Chief Commercial Officer.

: $138,000 - $161,000, employee equity plan grant & world class benefits.

We are seeking a highly organized and proactive Executive Assistant to support our Chief Commercial Officer (CCO). The ideal candidate will enhance the efficiency and effectiveness of the CCO by managing day-to-day operations, coordinating meetings, and handling extensive travel arrangements. This role requires a high degree of adaptability, customer focus, and the ability to succeed in a fast-paced, dynamic environment.

  • Executive Support: Enhance the Chief Commercial Officer's efficiency and effectiveness through comprehensive support.
  • Meeting Coordination: Organize and manage all aspects of internal and external meetings, including logistics, agendas, and communications.
  • Travel Management: Arrange all travel details, such as booking flights, hotels, ground transportation, and handling visas and passport renewals.
  • Personal Assistance: Provide organizational support for the CCO’s personal tasks, including family/children & coordinating complex family schedules.
  • Expense Management: Handle monthly expense reports, global credit card reconciliation, and offer backup support to other assistants.
  • Customer Focus: Maintain a customer-centric approach, ask pertinent questions in meetings, and readily adapt to new challenges.
  • Teamwork and Positivity: Foster a collaborative team environment, keep a positive attitude, and proactively support colleagues and company events.
  • Office Presence: Be present in the office whenever the Chief Commercial Officer is onsite. Typically, our support teams work in office in line with the executives they support, with more flexibility during periods of executive travel.

  • 8+ years experience of supporting C-level executives
  • Extremely strong computer literacy in MS Office Suite or Google Docs
  • Strength in time management and organizational skills with the ability to multitask in a fast paced work environment
  • Attention to detail and accuracy, very responsive - polite and professional in all communication
  • Flexible and be able to adapt quickly to last-minute changes, taking them in stride while maintaining a pleasant manner and motivating spirit
  • Take initiative to identify and execute upcoming tasks and projects
  • Strong written and verbal communication skills
  • Demonstrated team player
  • Strong sense of professionalism and diplomacy as this role will interact with clients, candidates and suppliers as well as all levels of staff in the organization
  • Bachelor's degree or equivalent preferred as well as all levels of staff in the organization
