The Role
We're looking for a Contract Office Coordinator (contract with the potential to move into a permanent role) to play a pivotal role in the day-to-day operations and management of the New York City office. You will serve as the main point of contact for all office maintenance and facilities management.
Facilities

 

  • Maintain kitchen pantry with food and beverages, following FIFO method
  • Receive incoming catering orders through the freight, set up, and take down
  • Perform routine walk throughs to maintain lobby area and conference rooms
  • Lead the management of all current and future repair work for HVAC, Electrical, Office Equipment and Building Requests
  • Receive incoming mail/packages and distribute it to the appropriate parties, and coordinate outgoing mail
  • Provide building management such as managing all external guests passes, new hires, employee passes, vendor relationship management, and cleaning crew communications
  • Bathroom stocking of toiletries
  • Refrigerator clean out
  • Wash dishes on an as-needed basis

Reception/Admin

 

 

  • Greet and announce visitors in a professional and courteous manner
  • Track, order, and restock office supplies
  • Provide overflow administrative support to other departments
  • Answer all incoming calls to reception desk and ensure calls are directed appropriate
  • Help plan company events
  • Refill printer stations with ink, toner, and paper
  • Be comfortable making birthday and anniversary announcements

Qualifications:

 

 

  • Bachelor's degree with 2+ years experience in an office manager or executive administrative role
  • 1 - 2+ years of facilities management experience
  • Ability to work in a fast paced environment
  • Strong attention to detail
  • Proactive problem-solver with strong communication skills.
  • Ability to work under pressure, to adjust to constant changes, and to handle multiple tasks
  • Well organized, with an interest in promoting process improvements
  • Experience exercising discretion and confidentiality with sensitive company information

*Compensation Range: $35 -$45 per hour

*This range represents the low and high end of the base salary someone in this role may earn as an employee of adMarketplace in the New York office. Salaries will vary based on various factors including but not limited to professional and academic experience; training; associated responsibilities; and other business and organizational needs. The range listed is just one component of our total compensation package for employees. Salary decisions are dependent on the circumstances of each hire.
