What you’ll be doing
Alloy operates in a hybrid-work environment. We look to foster collaboration and community by having our New York team on-site twice a week, and our remote employees on-site once a quarter. We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Executive Officer & Co-Founder, Chief Technology Officer & Co-Founder, and Chief Product Officer. The ideal candidate will be adept at managing complex schedules, coordinating travel arrangements, handling expenses, and assisting with ad hoc projects. You will also play a key role in facilitating recruiting scheduling and other administrative tasks. Your ability to anticipate needs, multitask, and maintain a high level of confidentiality will be critical to your success in this role.
- Calendar Management:
- Coordinate and manage the busy calendars of the CEO, CTO, and Chief Product Officer.
- Schedule and confirm meetings, ensuring all necessary preparations are made.
- Resolve scheduling conflicts and prioritize commitments.
- Travel Coordination:
- Arrange and manage detailed travel plans, itineraries, and agendas using Google Email and Ramp.
- Handle all travel logistics including flight bookings, hotel accommodations, transportation, and other travel-related activities.
- Ensure all travel arrangements are efficient and cost-effective.
- Expense Management:
- Process and manage expense reports for the executives using Ramp.
- Monitor and reconcile expenses to ensure accuracy and compliance with company policies.
- Prepare and submit expense reports in a timely manner.
- Recruiting Support:
- Assist with scheduling interviews and coordinating recruiting efforts.
- Communicate with candidates and hiring managers to ensure a seamless interview process.
- Maintain accurate records of candidate interactions and interview schedules.
- Ad Hoc Projects:
- Provide support for special projects as needed, ensuring timely and successful completion.
- Conduct research, compile data, and prepare reports as requested by the executives.
- Board Meeting, Leadership & Townhall Coordination:
- Schedule and coordinate board and leadership meetings, ensuring all participants are informed and prepared.
- Arrange logistical details such as venue, catering, and AV equipment.
- Dinner and Event Planning:
- Plan and coordinate executive dinners and other events.
- Handle all arrangements including venue selection, menu planning, and guest invitations.
- Ensure events run smoothly and address any issues that arise.
- General Administrative Support:
- Coordinating with another Executive Assistant and the CEO’s Chief of Staff & CPO and CTO’s Chief of Staff.
- Handle confidential information with discretion and professionalism.
- Act as a liaison between the executives and internal/external stakeholders.
- Manage and organize emails, correspondence, and other communications.
Who we’re looking for
- Bachelor's degree or equivalent experience preferred.
- Minimum of 5+ years of experience as an Executive Assistant or in a similar role.
- Proficiency in Slack, Google Workspace (Gmail, Calendar, Docs, Sheets, etc.) and experience with Ramp for travel and expense management.
- Strong organizational skills with a keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and adapt to changing demands.
- High level of integrity and discretion in handling confidential information.
- Proactive and resourceful with strong problem-solving abilities.
The following range is based on the scoped level within the organization and only for highly targeted geographies: $110-125K
