About the Opportunity

The Clinton Global Initiative (CGI) convenes global and emerging leaders to create and implement solutions to the world’s most pressing challenges. CGI works with partners to drive action through its unique model. Rather than directly implementing projects, CGI facilitates action by helping members connect, collaborate, and develop Commitments to Action — new, specific, and measurable plans that address global challenges.

For the CGI 2025 Annual Meeting, we will organize and execute numerous sessions detailing solutions to the world's greatest challenges, featuring speakers from across the private and public sectors. The Programming Coordinator will support the Programming team in managing speaker lists and logistics leading up to and throughout the Annual Meeting.

This role runs from May 19, 2025 – October 3, 2025 for 40 hours per week at $25/hour, and is open to NYC-based candidates.

Core Responsibilities

Support speaker management logistics and administrative work for the CGI programming team

  • Support management of internal Airtable, CRM, SharePoint, and Google Doc systems for speaker and contact tracking
  • Support speaker vetting and tracking in CRM
  • Serve as point of contact with the Operations team to track and update Programming team deadlines, milestones, and team-wide goals
  • Schedule briefing and team calls and coordinate schedules internally and externally
  • Develop speaker briefing documents and other marketing collateral
  • Assist with data management for event logistics and speaker information
  • Support invitation tracking: update all speaker RSVP status in CGI’s Airtable, CRM, and internal trackers
  • Design and organize internal programming documents to communicate program and speaker status internally and externally
  • Work with the Marketing & Communications teams to manage programming pages of the CGI website to ensure they are updated with accurate speaker information
  • Support CGI and Clinton Foundation senior leadership teams on tasks such as event operations logistics, preparing speaker invitations, and consolidating and distributing relevant information from various CGI platforms
  • Conduct research as needed to support speaker identification and invitation drafting
  • Process speaker registrations and house relevant data in Airtable and CRM
  • Administrative support as needed

Support on-site speaker registration and post-event wrap up

  • Assist with logistics and event management during CGI events
  • Support speaker registration and credentialing before and during CGI events, in partnership with CGI event operations team members and third-party vendors
  • Provide exceptional customer service for speakers in the lead-up to CGI events, onsite, and in follow up from CGI meetings
  • Support management of post-event activities, wrap up reports, collateral, and thank you letters for speakers and partners.

Minimum Qualifications

What we’re looking for:

  • Bachelor’s Degree in related area preferred
  • 1-2 years of relevant experience in event logistics
