We are seeking a highly motivated, detail-oriented, and energetic Office Manager/Executive Assistant to join our rocketship startup. You will be responsible for providing daily in-office operational and personal support to our company's Chief Executive Officer while also ensuring the office runs smoothly and efficiently.

You will report into and partner with the Chief of Staff to provide scheduling support, coordinate meetings, and ultimately act as a source of efficiency to the CEO.

Additionally, you will leverage your communication and organizational skills to oversee the daily operations of our office in Soho, NYC. You will manage and maintain the space, act as a receptionist to greet visitors, coordinate with building management, and assist with other employee-related administrative tasks. This role is essential to the smooth running of our operations and we're excited to bring on someone who thrives in a fast-paced environment.

Executive Assistant Responsibilities:

  • Manage calendars for the CEO and Chief of Staff, aligning schedules with priorities.

  • Organize email communications and coordinate travel, including in-market visits.

  • Support equity management through Carta and maintain organized documents in Google Drive.

  • Compile documents for performance reviews and assist in board meeting preparation.

  • Aid in fundraising operations, including document organization.

  • Handle personal appointments (e.g., dentist, apartment tasks) and arrange services like housekeeping.

Office Management Responsibilities:

  • Oversee office operations, ensuring equipment functionality and prompt issue resolution.

  • Manage supplies and inventory, including snacks; coordinate with vendors and repairs.

  • Welcome visitors, especially interview candidates, and support company events like All Hands meetings.

  • Assist HR with recruitment, onboarding, employee records, benefits, and offboarding (software decommissioning, asset recovery).

  • Maintain a seating chart and address cleanliness in the office.

  • Coordinate "Trabaversary" celebrations (balloons, cards, etc.).

You’re Likely to Succeed If You:

  • Have 1+ years of administrative support experience; a bachelor’s degree is preferred but not required.

  • Pay strong attention to detail and have a “no-task-too-small” mindset.

  • Are proactive, able to prioritize, and comfortable managing multiple tasks.

  • Work well with others, building productive relationships across the company.

  • Exercise sound judgment in communication with internal and external executives.

  • Thrive in a fast-paced environment, learn quickly, and operate with a sense of urgency.

Salary Range Details:

The compensation range for this position is set between $65,000 and $85,000, reflecting our market analysis and other relevant considerations. However, exceptions may be made for candidates with qualifications that significantly differ from those outlined in the job description.
