Position Overview

Arbol is seeking an Executive Assistant to support our 3 founders! The Executive Assistant will be primarily supporting our President and CEO, with occasional support to our Chief Data Scientist. This role involves managing communications and scheduling for the executives, as well as record/notekeeping, processing expense reports, and assistance around the office as needed. The ideal candidate has 7+ years of experience supporting multiple executives as an Executive Assistant. We’re looking for someone with a keen eye for detail, a proactive approach to their work, and who thrives in a startup environment. This role is based in our Midtown New York City office, with 4-5 flexible days per week in-office.

What You'll be Doing

  • Calendar Management: Own the management of calendars for the President and CEO, strategically planning meetings, phone calls, and travel
  • Travel Arrangements: Manage domestic and international travel plans
  • Communications: Draft, review, and send communications on behalf of Executives; prioritize emails and respond when necessary
  • Bookkeeping: Manage expenses and associated expense reports for the President and CEO
  • Preparation: Organize and prepare for meetings, including gathering documents and attending to logistics of meetings, attending meetings and taking notes 
  • Office Administration: Perform office tasks including maintaining records, ordering supplies, and basic bookkeeping

What You'll Need

  • 7+ years of experience as an Executive Assistant supporting multiple executives
  • Proficiency using Google Suite and/or Microsoft Office Suite
  • Experience managing domestic and international travel and expenses on behalf of executives
  • Excellent communication, time management, and organizational skills

What's Great to Have

  • Previous experience working in a startup environment ( 100 employees)
  • Previous experience supporting executives in the insurance industry
