How you’ll make an impact
We are looking for an experienced, proactive, highly organized Executive Assistant to support our Founder/CPO. This role offers a unique opportunity to contribute to the success of a groundbreaking company while gaining exposure to high-level strategic decision-making. What you’ll own
- Calendar Management:
- Manage the Founder’s complex calendar, including scheduling, coordinating, and preparing for all meetings and events.
- Anticipate needs, resolve calendar conflicts, and clear blockers to ensure the CPO focuses on the highest priority tasks.
- Meeting Preparation:
- Ensure the CPO is fully prepared for meetings, including gathering materials and briefing documents.
- Travel Coordination:
- Plan and manage intricate domestic and international travel, including flights, hotels, car rentals, visas, and detailed itineraries.
- Proactively identify efficiencies and streamline travel plans.
- Inbox & Communication Management:
- Organize and prioritize the CPO’s email and social media inboxes (LinkedIn, Twitter), addressing urgent matters and ensuring timely responses.
- Errands & Personal Assistance:
- Run errands and manage ad hoc personal tasks as required.
- Collaboration & Relationships:
- Build strong relationships across all levels of the organization, including executives, directors, internal teams, and external partners.
- Event & Meeting Coordination:
- Drive logistics for key team activities, including executive meetings, all-hands, board meetings, off-sites, and other events.
- Arrange venues, catering, and other services as needed for promotional and networking events.
- Visitor & Office Logistics:
- Coordinate logistics for guests visiting Spotnana’s global offices.
- Manage incoming and outgoing mail for the NYC office.
Experience to bring with you
- Experience & Education:
- Associate’s degree or equivalent experience required.
- At least 5 years of experience as an executive assistant, with direct experience supporting C-level executives in a fast-paced, technical environment.
- Skills & Expertise:
- Superior organizational, prioritization, and follow-through abilities.
- Exceptional written and interpersonal communication skills.
- Strong analytical and problem-solving capabilities with a proactive approach.
- Proficiency in G Suite and Microsoft Office.
- Judgment & Adaptability:
- Demonstrated ability to exercise excellent judgment, diplomacy, and discretion.
- Comfortable navigating shifting priorities and thriving in a dynamic, evolving organization.
- Location:
- Must be based in the New York City area and able to work a hybrid schedule, with at least three days per week in the office.

Spotnana strives to offer fair, industry-competitive and equitable compensation. Our approach holistically assesses total compensation, including cash, company equity and comprehensive benefits. Our market-based compensation approach uses data from trusted third party compensation sources to set salary ranges that are thoughtful and consistent with the role, industry, company size, and internal equity of our team. Each employee is paid within the minimum and maximum of their position’s compensation range based on their skills, experience, qualifications, and other job-related specifications.
The annual cash compensation for this role is: $150,000 - $175,000
