What You Will Do

As the Executive Assistant to the CEO, you will play a critical role in optimizing the CEO's time, ensuring their productivity, and contributing to the overall success of the company. You will be responsible for a wide range of administrative tasks and will act as a gatekeeper and liaison between the CEO and internal/external stakeholders.

Tactical responsibilities will include:

  • Calendar Management: Efficiently manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements while prioritizing conflicting requests
  • Communication: Screen and manage incoming emails, calls, and correspondence, ensuring the CEO is well-informed and prepared for meetings and events
  • Meeting Coordination: Prepare meeting agendas, attend meetings, take minutes, and follow up on action items. Coordinate logistics for internal and external meetings (Including internal team events/offsites, board meetings and customer-facing events) 
  • Travel Arrangements: Arrange complex travel itineraries, accommodations, and logistics for the CEO's business trips
  • Document Preparation: Draft, proofread, and edit reports, presentations, and other documents as needed.  (Including coordinating with members of the Leadership team on Board Decks, Off Site materials, All Hands decks, etc.) 
  • Project Support: Assist in special projects and initiatives by conducting research, preparing reports, and coordinating efforts across departments
  • Employee Recognition: Manage employee Rewards and Recognition program
  • Confidentiality: Handle sensitive information and maintain strict confidentiality at all times
  • Office Management: Oversee the NYC office space, ensuring it is well-organized and stocked with necessary supplies

  • Bachelor's degree preferred
  • Proven experience as an executive assistant or in a similar role supporting C-level executives
  • Exceptional organizational and time management skills
  • Strong communication and interpersonal abilities
  • Proficiency in Google Office Suite and Slack
  • Discretion and the ability to handle confidential information
  • Adaptability and the ability to work in a fast-paced environment
  • Excellent problem-solving skills
