As an Executive Assistant in Consumer Bank Strategy , you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.
Job responsibilities:

  • Maintain heavy calendar management.
  • Schedule internal/external meetings. Coordinate conference rooms /calls and disseminate all logistics to meeting attendees. Manage requests for printing and binding of materials.
  • Manage conference event planning: organize, gather and enter details for off-sites, team activities and cross-team collaborations.
  • Manage high volume emails, monitor requests and respond in a timely and professional manner.
  • Answer phones professionally, address issues or redirect as appropriate, and distribute messages in a timely and appropriate manner.
  • Coordinate international/domestic travel arrangements .
  • Compile and submit expense reports in a timely manner. Ensure company policies are followed and items are processed within provided guidelines.
  • Assist with work overflow and special projects.
  • Work cooperatively with the administrative assistants team, in positive partnership to support their respective coverage teams smoothly.


Required qualifications, capabilities, and skills

  • at least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent)
  • Proven experience managing a complex calendar across different time zones.
  • Strong interpersonal, written, and verbal communication skills
  • Enthusiastic, self-motivated, calm and effective when working under pressure
  • Extremely organized and detail-oriented with strong commitment to accuracy
  • Handle regular activities without prompting, and advice in advance of issues or delays - Must demonstrate a sense of urgency in handling a high volume of scheduling requests
  • Exercise independent judgment in a variety of situations
  • Motivated by a collaborative environment and willing to go the extra mile
  • Strong proficiency in Microsoft Office


Preferred qualifications, capabilities, and skills

  • Experience supporting at the Managing Director level (or equivalent) or above
  • College degree is a plus


Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options. Your hours are 7:30am to 4:30pm, with the flexibility to work additional hours to meet business needs.
